How to set up an effective registration process for your events

To assist make your event a huge success take time to make a great first impression when your guests arrive – have a well-organised registration process. Here are some tips that may assist you with this.

Organise signage at the venue to appear when your guests get out of the lift, walk off the street or enter a large conference facility.

This signage will assist your guest’s feel comfortable and know they are in the right place.

Provide pre-printed name tags if appropriate.

You may like to organise with your logo or event name on the nametag as well. TIP: Pay special attention to the correct spelling of people’s names as it is very important to get this right. Always keep a supply of blank nametags available also for unexpected guests.

Sort the nametags on your registration desk in alphabetical order (by last or first name)

Your guests will help you look for their nametag as well.

Use post it notes or stickers on your special or important guests nametags so you can easily identify them.

This will also assist any staff you may have at the event to be aware of these important guests.

Check off each guest’s name on your registration list when they arrive

This will help you know your numbers and also assist caters and guest speakers.

Check each guest has paid or is complimentary when they register using your registration list.

If your guest needs to pay you may like to place a small post it note on nametag to remind you when they arrive.

Advise guests what room you will be holding the event so they can proceed to that area if they wish

When formatting your registration list you may like to include the version number, column for paid and not paid and a number beside each name so you can quickly see how many guests you will have at your event.
These tips will ensure your registration process is smooth and your guests are made to feel welcome and comfortable as soon as they arrive.
